Reviewing and editing timesheets
Last reviewed: 2026-07-14
Every clock-in on POS creates a timesheet, and the Timesheets dashboard is where you review, correct, and annotate them.
Filtering the dashboard
The Timesheets table shows Date, Staff Name, Location, Clock In, Clock Out, Break Duration, Net Hours, and Status. Filter it by:
- Date range — defaults to this week, with presets for this month, last week, last two weeks, last month, or a custom range.
- Staff member
- Location
- Flagged only — shows just the auto-closed timesheets that haven't been reviewed yet (see Auto-closed timesheets and what to do about them).
Status badges on each row show In Progress (still clocked in), Complete, or Complete plus Auto-closed together for flagged timesheets.
Adding a timesheet manually
Click Add timesheet to open a form for backfilling a missed clock-in — useful if someone forgot to clock in, or worked without POS access that day. Fill in the staff member, location, clock-in time, and clock-out time; Team Shift validates that clock-out is after clock-in and rejects the entry if the chosen staff member is archived. On save, you're taken straight to the new timesheet's detail page. Just like a POS clock-in, a manually-created timesheet auto-links to a matching published shift and gets early/late tags calculated the same way.
The timesheet detail page
Opening a timesheet (titled "Timesheet — [Staff Name], [Date]") gives you:
- Shift Details — editable clock-in and clock-out times, a read-only location, a status badge, net hours, and up to four tag badges (Early In, Late In, Early Out, Late Out) if the timesheet is linked to a shift.
- Breaks — every break's start and end time and duration, each removable. Click + Add break to add one manually; break times have to fall within the clock-in/clock-out window.
- POS Sales — any Shopify POS orders attributed to this timesheet, if POS Sales Attribution is turned on (see Early/late tags and POS sales attribution).
- Internal Notes — free-text notes that are never visible to staff, each showing who wrote it and when. Click Add note.
- Audit Trail — a chronological timeline of every event on the timesheet: clock in/out, break start/end, auto-close, admin edits, manual creation, marking as reviewed, and order attribution — each with who did it and when.
Click Save to persist any edits to clock-in/out times; this recalculates net hours and logs exactly what changed in the audit trail.
Delete permanently removes a timesheet and everything attached to it — breaks, notes, and its audit history. This can't be undone.
