Clocking in with a PIN on shared registers
Last reviewed: 2026-07-16
When you tap the Team Shift tile, it works out who's clocking in based on how the POS device is logged in:
- Your own POS login → one tap. If the device is signed in as you, the tile opens to "Clock in as your name?". Tap Yes, that's me — no PIN needed.
- A shared register → PIN. Otherwise the tile shows a roster of everyone at that location. Tap your name and enter your 4-digit PIN.
- "Not you?" If the confirmation screen shows the wrong person, tap Not you? to open the roster and pick yourself.
This PIN is a Team Shift PIN, separate from your Shopify POS login. It only exists to tell coworkers apart on a shared register.
Entering your PIN
Tap your name on the roster (staff with a PIN are marked · PIN), then type your 4-digit PIN. It's checked as soon as you enter the fourth digit — there's no submit button. Wrong name? Tap Back.
After 5 wrong attempts in a row, that staff member is locked out for 5 minutes; the pad shows the time left and clears itself — no admin reset needed. For security, a wrong PIN and a staff member with no PIN show the same message, so no one can probe who has one.
Skip the PIN next time
The first time you use a PIN on a register that's really just yours, Team Shift asks "Is this POS login yours alone?"
- Yes, it's mine links this login to you, so you get the one-tap screen from then on.
- No, we share it keeps the PIN each time.
Only choose "Yes, it's mine" on a device you don't share — otherwise Team Shift assumes everyone on it is you. This works only for manually-added staff, and won't take over a login already tied to someone else. If you claim one by mistake, an admin can re-sync or re-add your record to undo it.
Where PINs come from
Manually-added staff get a PIN automatically. Staff synced from Shopify don't — they use their own POS login, and an admin generates a PIN only if they need to clock in on a shared register. Admins manage PINs at Staff → (staff member) → POS PIN (Generate or Regenerate); the PIN is shown only there, never on the POS tile.
If a name on the roster says it needs a PIN before clocking in here, ask an admin to generate one — Team Shift won't clock someone in on a shared register without a way to confirm it's them.
