Each booking becomes an event in your Google or Outlook calendar. You can choose what the event is called, who is invited, and what it includes. You set this for each service, and it applies to Google and Outlook together.
This needs the Pro plan or higher, and a connected Google Calendar or Outlook.
Change the event settings
- On the Dashboard, open the service.
- Click the Notifications tab.
- Scroll to Google and Outlook Calendar Settings.
- Make your changes (see below).
- Click Save in the bar at the top of the page.
The event title
In Set a custom Calendar Event Title, type the title you want. You can use these words in curly brackets, and the app fills them in:
| Type | Becomes |
|---|---|
{first_name} | The customer's first name |
{last_name} | The customer's last name |
{event_name} | The service name |
{availability_name} | The team member's name |
{number_of_attendees} | How many people are booked |
{variant_title} | The product option the customer chose |
{booking_id} | The booking ID |
{order_id} | The Shopify order number |
For example: {event_name} – {first_name} {last_name}.
These use one pair of curly brackets. Emails and texts use two.
Who is invited and what it includes
- Add customers to Google & Outlook calendar invites — the customer is invited to the event and gets an invite email. Uncheck it to keep events private to your team.
- Add customer information in Google and Outlook Calendar Descriptions — the event includes the customer's name, email, phone, and answers to your intake questions.
- Create a unique calendar event for each customer booking — by default, bookings at the same time share one event. Check this to get one event per booking.
For group services, do not add customer information and invite customers to the same shared event. Everyone invited could see the other customers' details.
Give each service a color (Google Calendar)
- Go to Settings > Calendar sync and turn on Sync event colors to Google Calendar.
- Open a service and click the Advanced tab.
- Under Calendar Color, choose a color.
- Click Save.
The color also shows on the Bookings page in the app.
