Easy Appointment Booking sends emails using a clean, mobile-friendly template by default. You can personalize that template with your logo, brand colors, and custom message text — so every email your customers receive feels like it came from your store, not a third-party app.
Opening the email editor
- Go to Easy Appointment Booking → Settings.
- Click the Email & SMS tab.
- Under Email Design, select Easy Appointment Booking (not "Custom Email Templates" or Klaviyo).
- Click Customize emails.
The editor opens with a live preview on the right so you can see changes as you make them.
Adding your logo
In the email editor, find the Add a Logo field and paste in a URL pointing to your logo image.
- Recommended size: 300 px wide or less, transparent background (PNG works best).
- The logo appears at the top of every email your customers receive.
- If you leave the field blank, no logo is shown — the email header displays your store name instead.
If your logo is already on your Shopify store, right-click the logo image on your storefront and copy the image address to use as the URL.
Setting brand colors
The custom color template lets you control four color areas:
| Setting | What it affects |
|---|---|
| Background Color | The email body background |
| Text Color | Body text |
| Button Background Color | The main call-to-action button (e.g. "View Booking") |
| Button Text Color | Text inside that button |
Click the color swatch next to each setting to open the color picker. Enter a hex value directly if you know your exact brand color (e.g. #0071E3).
Click Save Design when you are done.
Editing the email subject line
You can customize the subject line for each type of email separately:
- In Settings → Email & SMS, scroll to the notification type you want to change (e.g. When a booking is made...).
- Edit the Email Subject field.
- You can use template variables in subject lines — for example:
Your booking for {{event_name}} is confirmed.
Editing the email body text
Below the subject line for each notification type, click Edit [Notification Type] Email Content to open the template editor. This editor lets you:
- Add a greeting or introductory paragraph.
- Include a closing message or call to action.
- Use template variables to personalize the content for each customer.
The booking details (date, time, location, service name) are inserted automatically — you do not need to add those by hand.
Available template variables
Use these variables anywhere in your subject lines or body text. When an email is sent, each variable is replaced with the actual value for that booking.
| Variable | What it inserts |
|---|---|
{{first_name}} | Customer's first name |
{{last_name}} | Customer's last name |
{{event_name}} | The name of the booked service |
{{start_date}} | Booking date |
{{start_time}} | Booking start time |
{{end_time}} | Booking end time |
{{event_location}} | Location set on the service |
{{event_notes}} | Notes attached to the event |
{{booking_id}} | Unique booking ID |
{{order_id}} | Shopify order ID (paid bookings) |
{{shop_name}} | Your store name |
{{shop_email}} | Your store's email address |
{{availability_name}} | Name of the staff member assigned to the booking |
{{reschedule_booking_link}} | A link for the customer to reschedule |
A full list of variables is also shown at the bottom of Settings → Email & SMS under Email Variables.
Previewing before saving
The email editor shows a live preview as you make changes. Before saving, check:
- The logo appears at the expected size.
- Button colors are readable (enough contrast between background and text).
- The subject line looks correct with any variables filled in.
You can also send a real test by creating a manual booking from the dashboard — see Email Notifications & Reminders for steps.
Setting a custom "from" name and reply-to email
By default, emails are sent from hey@getservicify.com. You can change two things without upgrading:
- Reply-to address — go to Settings → Email & SMS → Email Notification Settings and enter your primary contact email. Replies from customers will land in that inbox.
For a fully custom from address (e.g. bookings@yoursalon.com), you need to set up Custom Email Address:
- In Settings → Email & SMS, find the Custom Email Address section.
- Enter your From Email Address, From Name, and optionally a Reply-To Email.
- Click Save Custom Email Address.
Custom Email Address is available on the Ultimate plan only. Your from address must use a custom domain — free email addresses like Gmail or Yahoo are not supported.
After saving, a confirmation email is sent to your from address from support@postmarkapp.com. Click the link in that email, then return to the app and click Check Verification to activate the sender.
